Job Description
The Center Coordinator is a central member of the Center for Professional Learning team. The Center Coordinator manages the systems and procedures that are core to the operations of the Center for Professional Learning, including team coordination and meeting planning, student billing, purchasing, event planning, and instructor hiring and payroll. The Center Coordinator also serves as the main liaison between the Center for Professional Learning and various other offices at Penn GSE, including Information Technology, Business, Communications, and Human Resources.
Responsibilities
- Event Planning: Plan events and manage logistical needs for in-person and virtual events, including travel, reservations, catering, technology, assisting instructors with preparation and distribution of course materials, creating and distributing event registration forms, and program evaluations.
- Financial Administration: Prepare, troubleshoot, and track all program registration payments associated with Center for Professional Learning programs. Facilitate the hiring process for instructors and manage payroll. Create invoices and purchase orders.
- Administrative Support: Provide administrative support to the Center for Professional Learning team and the Executive Director and the Senior Associate Director, by managing the Center for Professional Learning email inbox, calendar, faculty hiring, payroll, purchasing, scheduling, grant management. Assists in making updates as needed to learning management system (Canvas).
- Learner Support: Manage Center inbox and distribute incoming message to appropriate team member, learner customer service, learner registration and digital certificate distribution.
- Perform additional duties as assigned.
Essential Qualifications
- High School Diploma or GED
- Team player who is adaptable, highly collaborative, and enjoys working in a fast-paced environment
- Requires fastidious attention to detail
- Must have the ability to work on multiple projects simultaneously and advance multiple high-priority projects at once
- Excellent written and oral communication skills
Preferred Qualifications
- 5 years of experience
- Experience with financial administration (budgets, payroll, purchasing, and invoicing)
- Experience with Concur and Qlikview
Timeline
Application review will begin on May 8, 2023. Interviews will tentatively begin the week of May 22, 2023. Ideally, a final hiring decision will be made by June 5, 2023.
