JOB DESCRIPTION

*This will be a temporary position that will work from the end of June until the end of September.

The Temporary Office Coordinator works with the Assistant Dean of Students/Director of Residence Life and the entire residence life team to foster an inclusive, welcoming, celebratory, socially just, and student-learning-centered environment for all students, staff, and faculty at Davidson College. The Temporary Office Coordinator performs a wide variety of complex and responsible administrative and office management duties in support of management and administrative support staff in a fast-paced, collaborative, student-centered, and learning-centered department.

The Temporary Office Coordinator is a live-off position and is required to work some non-traditional hours, including some evenings and some weekends.

The following are the key responsibilities of the position:
  • Coordinate office administration, including reception, phones, mail, filing, calendars, ordering supplies and food, petty cash, routine correspondence, proofreading, reserving rooms, and managing front-office keys.
  • Assist in budget management and operations, including office budgets. Pay bills, reconcile corporate credit cards, invoices, and process accounts payable vouchers.
  • Coordinate residential work orders, including processing, monitoring, tracking, and reporting specific facilities requests. Assist as an RLO liaison between students and Physical Plant employees. Serve as a front-line response to the RLO work order process.
  • Assist with office marketing, including updating the RLO website, securing departmental branding, and ordering necessary materials.
  • Assist with First-Year Roommate Pairing Process, including coordination of correspondence with incoming students, managing complex database, filing folders, reading files, scoring inventory, and processing roommate preference cards.
  • Supervise student employees by managing office hours to ensure front office coverage at necessary times. Approve student employee hours.
Position Qualifications:

Required:
  • High school diploma or GED.
  • Supervisory and leadership experience demonstrating increasing responsibilities.
  • A high degree of judgment, as well as excellent interpersonal and written communication skills and problem-solving and reasoning skills, including the ability to work effectively with individuals from underrepresented groups with understanding and sensitivity to the experiences of individuals from diverse backgrounds.
  • Ability to gather, assemble, analyze, and evaluate facts, evidence, data, and other information in order to draw reasonable and fair conclusions and make sound decisions.
  • Ability to maintain a high level of confidentiality and to handle sensitive subject matter objectively and with sensitivity and discretion.
  • Ability to work independently and to manage multiple projects effectively.
Preferred:
  • Significant interaction and collaboration with various departments within a college and university system.
  • Candidates with a minimum of one year experience in residence life or college housing.
  • Candidates with experience in resolving conflict, team building, people support, and group dynamics.
  • Candidates with computer skills and knowledge of various software programs
